Built for hostels
Hostel management software for privately run hostels
A private hostel runs on volume: dozens of rooms and a hundred residents, each with a bed, a lease and a monthly bill. Nivasin keeps all of it in one place and shows where every bed and every rupee stands. It's built for owners who rent beds, not for a college's hostel office.
Situations Nivasin was built for
Rooms by floor, beds by number
Set up the building as it is and see occupied and vacant beds at a glance.
A hundred profiles, all complete
Each resident's ID, emergency contact and employer in a profile you can find in seconds.
Collections at month end
Collected against expected, with partly paid and overdue invoices listed, and payments exportable to CSV.
A month with Nivasin
-
Set the building up once
Add the hostel, then its rooms floor by floor with numbered beds, AC or non-AC and base rent. Occupied and total beds show for the building straight away.
-
Admission season
Each new resident gets a profile with an emergency contact and, for working residents, their employer, then a lease on a specific bed with the deposit recorded.
-
Monthly billing
Invoices are generated for every lease each month. Payments by cash, UPI, bank transfer, cheque or card are recorded against them, each with a receipt.
-
Room changes
When a resident moves to another room, transfer them to the new unit without entering their details again. Both rooms' occupancy updates.
-
Running costs
Staff salaries, utility bills and maintenance go into the ledger against the hostel, so collections and costs for the building sit side by side.
What Nivasin doesn't do: Nivasin is not college hostel ERP software: it has no mess menu or meal counts, no attendance, no gate passes or visitor logs, and no academic fee structures. It handles the property side: beds, residents, leases, rent and the books.
A good fit if you run
- Dormitory and multi-sharing rooms
- Resident profiles and emergency contacts
- Monthly invoices and receipts
- Salaries and maintenance in the ledger
Properties, rooms and beds
PGs, hostels, co-living homes and flats set up as they really are, down to the bed, with occupancy for each.
Tenant profiles
Each tenant's contact details, emergency contact, work details and payment standing in one profile.
Rent invoices and payments
Monthly invoices for every lease, and payments by cash, UPI, bank transfer, cheque or card recorded with receipts.
Ledger and expenses
Every rupee in and out per property, with categories, attached bills and reversals instead of edits.
Common questions
What should hostel management software include?
At minimum: room and bed occupancy, resident records with ID and emergency contacts, leases, monthly billing and payment tracking, and a record of income and expenses per building.
Can I see which beds are free?
Yes. Every property shows its occupied and total beds, and each room shows which numbered beds are taken.
Is Nivasin for college or university hostels?
It's built for privately run hostels that rent beds by the month. College hostels usually need mess management, attendance and gate passes, which Nivasin doesn't have.
Can I export collections for my accountant?
Yes. Payments can be exported to CSV, and the ledger shows total inflow, outflow and the net balance for each property.
Can more than one hostel be in one account?
Yes. Each hostel keeps its own rooms, residents, leases and books, and the dashboard shows all of them together or one at a time.
